Administrative Assistant (Full time)

9am - 6pm
Location: East New York, Brooklyn

$25,500 plus benefits

Organization Summary:

Groundwork, Inc. is a new community-based nonprofit organization that helps children in urban neighborhoods discover and develop their strengths, skills, and talents through effective experiential learning programs. Groundwork operates after-school and summer academies serving public housing residents in East New York, Brooklyn and provides various support services to students and their families.


Position Description:

The Administrative Assistant position will report to the Associate Executive Director and will be based primarily in Groundwork’s administrative office in East New York, Brooklyn, with occasional travel to program sites.

Roles and Responsibilities:

  • Office Reception and Administration
    The Administrative Assistant will fill the role of office receptionist and will assist senior management to ensure the effective maintenance and operation of Groundwork’s administrative office. Responsibilities will include:
    - Serve as initial point of contact for office visitors and callers
    - Coordinate sharing and maintenance of office facilities, equipment, and supplies between the administration staff
    - Maintain office supply inventory by compiling purchase requests and ordering supplies
    - Sort and distribute incoming mail and mail outgoing items several times per week; Assist with mass mailings.

  • Data Entry and Management
    Provide assistance to senior management to support the organization’s employee, client and constituent data management requirements. Responsibilities will include:
    - Initial data entry and ongoing maintenance of client tracking information
    - Maintenance of individual donor database information
    - Other data entry and maintenance projects
  • Organizational Support Projects
    The Administrative Assistant will support the Groundwork senior staff on various organizational or program support related tasks. Responsibilities will include:
    - Maintain filing and other office organization systems
    - Securing price quotes and procuring supplies and services from selected vendors
    - Making phone calls or preparing written correspondence
    - Manage files on foundation, corporate, government and individual donors
    - Complete administrative items to support the fundraising function including individual donor communications and support (e.g., fundraising mailings, thank you letters)
    - Attending and taking minutes at meetings of the Board of Directors


Work with experienced high performance team of nonprofit executives. Work is performed under typical start-up operational conditions with frequent interruptions.


• Highly responsible and organized individual with a commitment to the organizational mission
• High proficiency with computers. Experience with Microsoft Office applications and the Internet are very important. (Additional training may be available.)
• Previous experience working in an office environment
• Desire to learn new skills and interact with a wide range of individuals
• Strong writing and editing skills are a plus
• Spanish-language ability is a plus
